Brand-New G Suite: Google Workspace

Google announced a significant new change to its productivity suite of office apps on 6 October 2020, rebranding G Suite with a new name: Google Workspace. In this time, more advanced features are added and tighter integration is provided between the core applications of G Suite, including Gmail, Docs, Sheets, Slides, Drive, Calendar, and Meet, particularly in collaboration. Google is also providing a broader range of pricing options to fulfill the business needs of each company.

The three editions of G Suite: Basic, Business, and Enterprise, have been rebranded and renamed to Google Workspace with seven editions.

  • Business Plan: Business Starter, Business Standard, Business Plus

Things You Need to Know: G Suite vs Google Workspace

The new changes are listed as follows:

Storage Limits

30GB for G Suite basic, unlimited storage for G Suite Business and G Suite Enterprise; while for Google Workspace: 30GB for Business Starter, 2TB* for Business Standard, 5TB* for Business Plus, 1TB* for Enterprise Essentials, 5TB for Enterprise Standard and Enterprise Plus (*Requires 5 users and above).

Unlimited storage is no longer available. However, it should be more than enough unless too many large files for audio and video are uploaded.

Storage Changes: Pooled Storage

In the past, the storage that is assigned to each user cannot be shared among Google Workspace users. Now, Google Workspace offers pooled storage to share across the organization (Not applicable for Business Starter).

For example, if 10 users subscribe with Business Standard, you get 20 TB of storage (10 users x 2 TB) of pooled storage that’s shared across your organization. In other words, one user may use more than 2TB as long as the pooled storage is enough. This actually helps the organization to fully use the storage.

E.g. Business Standard – 2 TB, pooled
If 10 users subscribe with Business Starter, there will be total storage of 10 TB. Thus, employee A can use more than 2 TB as long as the storage is still available.
-Cloud storage is shared between Google Drive, Gmail, and Google Photos.

If your organization needs more storage, you can choose to add more users or upgrade to a new Google Workspace subscription that provides more pooled storage.

User Account Limits

For G Suite, there are no user account limits. After the rebranding, Google Workspace has added a limit on the number of users. For the Business plan (Starter, Standard, Plus), the account limit is up to 300 users, while there is no account limit for the Enterprise plan (Essentials, Standard, Plus). Therefore, it is required to subscribe to the Enterprise edition if you have more than 300 users.

Google Vault

This feature is available in Business Plus, Enterprise Standard, and Enterprise Plus. The Vault is an information governance and eDiscovery tool for Google Workspace, which can retain, hold, search, and export users’ Google Workspace data related to a specific eDiscovery project, such as a litigation case or investigation.

Integrated Gmail, Meet, Chat & Rooms

Gmail is integrating Google Chat, Rooms, and Meet by providing a central location to communicate with coworkers. This integrated experience allows your team to work collaboratively and productively.Besides, there is a new release to improve collaboration when using Google Workspace. Users can collaborate on shared Google Docs, Sheets, and Slides with team members directly in a Room without changing tabs.

New Edition Released for Frontliners: Google Workspace Frontline

In April 2021, Google Workspace Frontline has been launched. Not only companies can save money but also allow frontline workers to use collaboration and communication tools to work with their team even if they are not working at their desks.

「AppSheet」is Available for Enterprise Plus Users at No Cost

AppSheet is a no-code app development platform for building applications. Google Workspace Enterprise Plus users are free to use the functions of AppSheet Core. Besides, they can share the applications with users in the same organization at no additional cost. The free version of AppSheet is available to all Google Workspace subscriptions, which allows for prototyping applications and testing.

Security Enhancement of Google Meet

New safety features:

  • Participants who have been removed from the meeting room won’t be able to attempt to join the same meeting again unless the host re-invites them.
  • The chat lock and present lock will let hosts control which attendees can chat and present within the meeting.

Security Enhancement of Google Chat

Google Workspace has also improved the security of Chat. We are extending the strong phishing protections we have built within Gmail to Chat. If a link is sent to you via Chat, it will be checked against real-time data and flagged if it’s found to be malicious.
